Contact in the indicated cases is also possible in traditional correspondence to the Administrator’s address with the note: “Personal Data Protection” and in person at Podleśna 42/42, 01-673 Warsaw.

Contact with the Administrator of your personal data in all matters related to privacy, security and protection of personal data is possible via email sent to rodo@gce.waw.pl or by letter sent to the address of the Company’s registered office.

We would also like to inform you that your data in the E-Kartoteka platform, the Personal Data Administrator is your Housing Association; which, through contracts, entrust us with the management or administration of them in the E-Kartoteka platform. Therefore, all issues related to creating, updating, or deleting the account should be reported by email: rodo@gce.waw.pl .

When using the www.greencityestate.pl website, you are not required to provide any personal information; the only data collected automatically is the data contained in cookies.
Some features on our website require you to provide additional information for us to contact you at the email addresses provided on the website and if you wish to use the E-Kartoteka. In case of direct contact, to confirm your identity, GCE Company will collect the following data: name, surname, telephone number, address or email address. In the case of E-Kartoteka, the following personal data will be processed: name, surname, PESEL number, VAT no. (NIP), address of residence, telephone number, email address, login and password. This data will come from your completed application. In addition, the E-Kartoteka platform will provide information on debits, payments, account balance. All such data has been entrusted to GCE in connection with the performance of its tasks as manager or Administrator.

Purpose and duration of data processing

The processed data made available on the website www.greencityestate.pl is processed for the following purposes:

  • The sender’s identification to contact you to process your request or answer your question if you have made use of the possibility to contact us by email through the addresses provided on the website, based on Article 6, paragraph 1 (f) of the GDPR. This processing is necessary for the legitimate interests of the controller. The legitimate interest is to be able to respond to your emails and conduct communications;
  • Marketing based on Article 6, paragraph 1 (a) of the GDPR, i. e. on your consent to receive marketing content;
  • the establishment, investigation or defence against claims, based on Article 6, paragraph 1(f) of the GDPR. The processing is necessary for the legitimate interests of the controller

You have the right to: access your data, rectify, delete, limit processing, transfer and to object (e.g., if the data is processed, based on your consent or for marketing purposes or sharing your information); you also have the right to withdraw your consent at any time. To withdraw your consent, you can contact the customer service point at our headquarters or office at ul. Podleśna 42/42 in Warsaw or by sending an email to the following address: biuro@gce.waw.pl or rodo@gce.waw.pl. You also have the right to complain with the supervisory body – the Commissioner of the Personal Data Protection Office.

Providing your personal data is entirely voluntary. Failure to provide personal data will result in the inability to fully fulfill the obligations assumed by Green City Estate sp. z o.o. based in Warsaw as part of contracts concluded with you. At the same time, please note that the data processed by the Housing Association in connection with the operation of the E-Kartoteka platform based on:

  • Article 6, paragraph 1 (c) GDPR, i.e. the fulfilment of the legal obligation incumbent on the Administrator in the field of data in the E-Kartoteka platform and is available to its users after registration and logging in to an individual account. The purpose of data processing is to enable you to access information about your premises via the website;
  • Article 6, paragraph 1 (a) GDPR, i.e. consents to the scope of data in the application for creating, updating, or deleting an account in the E-Kartoteka. These data are processed to set up and service your account in the E-Kartoteka platform and enable contact between you and the Housing Association and its Administrator in connection with implementing the E-Kartoteka functionality.

To create an account in the E-Kartoteka platform, providing the data included in the application form is voluntary but necessary to fulfil the request. However, having an account in the E-Kartoteka platform is not obligatory. Your personal data will be processed for the period during which you remain the premises owner. After the cessation of this circumstance, until any claims related to ownership of the premises are time-barred.

Personal data collected via the website may be transferred to entities with the participation of which the GCE Company carries out the purposes as mentioned earlier, in particular:

  • the entity operating the IT infrastructure of GCE IT systems, the website and the E-Kartoteka platform;
  • public administration within their powers.

Personal data may also be transferred between the GCE Company and the Housing Association in a situation where the response to the inquiry in connection with the management or administration requires a prior position by the relevant Housing Association.

The Green City Estate Company does not transfer your data to third countries or international organizations.

Data Subjects’ Rights

All persons whose data is processed by the GCE Company have the following rights:

  • the right to access personal data, including to obtain a copy of that data;
  • the right to rectify inaccurate data, including the right to complete incomplete personal;
  • data also by submitting an additional declaration;
  • the right to erasure (“right to be forgotten”);
  • the right to restrict processing;
  • the right to transfer data, including sharing data directly to another administrator;
  • the right to object to the processing of personal data concerning him/her;
  • the right to withdraw consent at any time without affecting the lawfulness of the processing carried out based on consent before its withdrawal.

You may exercise your rights at any time by requesting the Data Administrator at the following email address: rodo@gce.waw.pl or by post to the Company’s registered office. Each application is considered individually as soon as it is received. Your request should include your contact details so that we can determine and, if necessary, confirm your identity before processing your request. Suppose you believe that the principles of personal data protection have been violated. In that case, you can also exercise your right to complain to the supervisory authority – the Commissioner of the Polish Data Protection Office (UODO) or the right to seek redress before a common court.

Change of the Privacy Policy

Green City Estate Company reserves the right to update the provisions of this Privacy Policy in case of changes in the ways of personal processing data or changes in applicable law. Any changes to enrollment will be posted immediately at www.greencityestate.pl.
