Real Estate Administration

  • Maintaining and updating the list of premises, unit owners and tenants and their respective shares in the common property
  • Ensuring the supply of municipal services: concluding, amending, and terminating contracts with suppliers of water, heat, electricity, gas or others necessary for the proper functioning of the property,
  • Entering, amending, or terminating building insurance policies against fire and other casualty events and against liability for events that may occur on the common property,
  • Supervision of co-op companies regarding the maintenance of cleanliness in the building and within the property,
  • Preparing, convening, and servicing Residential Community meetings, adopting resolutions of the apartment owners at the meeting or by individual vote collection or in a mixed-mode, and their implementation,
  • Confirmation of eligibility to reside on the premises where registration is to take place,
  • Issuing certificates and attestations concerning landlords,
  • Finding companies to provide services, negotiating prices and contract terms,
  • Digitization, storage and archiving of the Community’ documents.

Representation of the Housing Association

  • Representation of the Housing Association before state and local government authorities;
  • Representation of the Community in relations between the Owners.

Banking and accounting services

  • Complementing the activities on assigning the VAT No. (NIP) and Registration No. (REGON) numbers to the Community,
  • Assistance in opening a bank account for the Community and making settlements through the account
  • Keeping non-accounting records of standard property management costs,
  • Maintaining individual financial reconciliation accounts to cover the maintenance costs of the common part of the building, communal services and renovation fun
  • Preparation of an economic plan for the common property,
  • Preparation of annual financial statements of the Communities (annual balance sheet) on the meeting of all property owners and the settlement of the Community with the Tax Office.

Maintenance

  • Keeping technical records of the property, including the book of the building in accordance with the requirements of the building law,
  • Conducting technical inspections and periodic reviews of the property and its equipment (carried out by companies specializing in this field and holding the relevant entitlements),
  • Ordering and inspecting ongoing building repairs and maintenance,
  • Damage control and their effects,
  • Preparation of renovation plans,
  • Supervision over the work of companies carrying out repairs and modernization and the acceptance of these works,
  • Finding contractors or conducting tenders for construction works based on the Public Procurement Law,
  • Ensuring technical supervision,
  • Technical assistance with the assumption of CCTV and aid in its legal protection in connection with the GDPR.
  • Conducting property maintenance,
  • Handyman service.

Legal Support

  • Assistance in creating the Security Policy – GDPR
  • Drafting and reviewing concluded contracts,
  • Preparation drafts of resolutions and other legal acts of the Communities (regulations, statutes, etc.),
  • Representation of the Community in Courts and enforcement authorities (only after adopting a different resolution specifying the conditions of representation).
